Pipeline and tasks

Move creators through stages, reach out with templates and let Tasks remind you what to do next.

Stages

Creators move through your pipeline's stages. These are the default stages:

StageMeaning
NewAdded, imported or applied, not contacted yet.
ContactedYou reached out and are waiting for a reply.
AcceptedYou agreed to work together. Set the fee, code and deliverables, then ship.
ShippedThe gift order was created. Waiting for posts.
PostedAll promised deliverables are done.
LostNo reply or no longer working together. Lost creators don't count toward your plan.

Customize your pipeline

Open Settings › Pipeline, or choose Customize pipeline on the Pipeline page. You can rename the pipeline and add, rename, reorder or delete stages. New (first) and Lost (last) can be renamed but always stay. When you delete a stage, pick where its creators go; if you don't, they move to the first stage.

Reminders and automatic moves (for example when a gift order is created) belong to the default stages. Stages you add are plain columns without reminders.

Posted and Lost creators leave the board 5 days later. They stay in Creators, and you can click a stage on their page to resume.

Use the board

  1. Open Pipeline. Search by name, @handle, code or owner, and filter by date, category or type.
  2. Move a creator to the next stage from their card, or select several and use Move to.
  3. Click Refresh results to update code orders and revenue for creators with a code.
  4. On Pro, Bulk export (CSV) downloads the current view or every creator, including contact details and addresses.

Reach out

On a creator's page, under Reach out, choose a channel. Templates come from Settings › Message templates and fill in the creator's name and your brand.

  • Email: on Growth and Pro, click Send email. It goes out with your store name and replies go to your reply-to address. On every plan you can open the message in Gmail or Outlook, already filled in, or copy it.
  • Instagram DM: Instagram doesn't allow automated first DMs. Copy the message, click Open Instagram DM, paste, then log it.
  • WhatsApp: Open WhatsApp opens WhatsApp Web with the message.

Click Mark as contacted or Log follow-up so the contact is recorded and the reminders restart.

Tasks

Tasks lists what is due today, this week and next week. Click Complete when a task is done; the last 7 and 30 days of finished tasks are shown below. Today's outreach shows a set number of "Not contacted yet" tasks per day (20 unless you change it in Settings).

Reminder rules

Change these in Settings › Reminder rules (Tasks). The defaults are:

StageA task appears when…
NewAdded but not contacted after 3 days
ContactedNo reply 5 days after the last contact
AcceptedProducts not shipped after 2 days, or the gift link not submitted after 2 days
ShippedNo post 7 days after shipping
You can set a specific follow-up date on any creator's page. That date wins over the rules. Days follow your store's time zone.
